Enable TOAST.net's Spam Filter

This is a quick guide on how to enable TOAST.net's spam filter that is included with our SmarterMail service. We provide an advanced, spam filtration service that is constantly updating and evolving to best fight the spam trying to get to your mailbox.

1. Log into your SmarterMail account

2. Select the "More" tab at the top and click "Settings"

3. Select "Spam Filtering" on the left hand tool bar and make sure the "Override spam settings" toggle is turned OFF

This will be automatically be off by default when you create a Toast.net Email account.

Reporting Phishing and Spam

Reporting phishing and spam is essential for a safer online environment. By reporting these incidents, you contribute to the collective effort to identify and stop cybercriminals. Your actions can help prevent others from falling victim to similar scams and can ultimately make the internet a less hospitable place for malicious actors.

Before reporting, make sure you are informed, be sure to check out our other articles for tips on spotting phishing and spam.

Report Phishing:

Google

1. Go to Google's Reporting Page.

2. Paste the URL from the phishing message into the box labeled URL.

3. In the additional details section be sure to include extra information that helps classify why the site would be considered phishing. (ex. This site was sent to me in an email and is impersonating a legitimate business to obtain my login credentials)

4. Click the Submit Report button to send the report to google.

Microsoft

1. Go to Microsoft's Reporting Page.

2. Paste the phishing URL into the "Which site do you want to report?" field.

3. Make sure the Phishing bubble is selected under "What threats did you find on the site".

4. Enter the language used on the site.

5. Prove you are not a robot by entering the characters shown on the screen.

6. Click Submit to send the report to Microsoft.

Report Spam:

Gmail

Note: This is only used for reporting @gmail.com email accounts

1. Go to the Gmail Violation Reporting Page.

2. Fill out the required fields to complete your report such as

Your contact email
Full Gmail address of the person involved in the incident
Email headers of the questionable message
Original subject line of the questionable message
Content of questionable message
Additional Information
Was this message from someone impersonating Google?

3. Click the Submit button to send the report to Google

Message has your From address, but you didn't send it

Situation

Your friends receive a message from you asking for help with a bank transfer.
You receive undeliverable notifications or replies from messages you never sent.

The problem is you never sent the message. Unfortunately, it's possible for someone else to send out emails using your email address. We'll look at a few of the methods used to do this and how to stop/prevent it from happening.

Possible Causes (and fixes)

Hacker gets into your mailbox. This is common if you don't have a strong password or use the same password at other sites. The fix is to change your password immediately.
A hacker is on your website and uses your web form. Need to update security on web site.
Spammer gets your email address somehow (off a business card, web page) and uses it as the from address (spoofing).
A random person's PC gets infected with a virus. That person happens to have you in their contact list. The virus sends out spam using addresses in their contact list and it uses your email as the 'from' address.

In order to try and determine which method is being used you'll need the headers to the bogus email. This requires the original recipient to forward the email as an attachment to you. Call TOAST.net and we will give you a special address to forward that message so we can analyze it.

Business Customers

These last 2 items above are the most difficult to stop, but there is technology (such as SPF and DKIM) that TOAST.net can add to your hosted email that can reduce/prevent abuse. Contact your TOAST.net account manager for details.

How to Identify Phishing Emails

TOAST.net will never ask for your username or password through email or chat. Please contact TOAST.net Support if you have a question about an email from TOAST.net.

Phishing is the name given to fraudulent email messages from cybercriminals that trick you into divulging your personal info. These messages have links to fake websites that prompt you for your username, password, bank account, etc. DO NOT respond to these emails!

Tips to identify a phishing email:

Hover your mouse over the From field to verify the sender's email address.
- For example TOAST.net would send from an @toast.net mailbox such as support@toast.net.
Hover your mouse over weblinks to see where it leads. Be cautious if the link does not match the sender's domain or looks suspicious.
Check for urgent or suspicious prompts. Phishing emails often create a sense of urgency or fear to prompt immediate action.
Look for typing errors, poor grammar, and generic greetings like "Dear Customer"
Watch for spoofed signatures and branding as they will try to impersonate well known brand names.

WARNING

If you shared any information with the fake address, logged into a site they linked, or just want to be extra secure, change your email password immediately.

To change your password:

Login to your mailbox
Click on Settings --> Account Settings--> User. You'll see the fields to update your password.

Spam refers to unsolicited and often irrelevant messages sent in bulk to a wide range of recipients. These messages can clutter your inbox, containing advertisements, promotions, or links to potentially harmful websites. Spam is not only a nuisance but can also pose security risks, as it may carry phishing attempts, malware, or other malicious content. Recognizing and effectively dealing with spam is essential to maintaining a clean and secure online environment.

TOAST.net employs a robust range of technologies to safeguard against spam. However, your own behavior also plays a vital role in protecting your inbox. In order to help prevent spam from ever reaching your mailbox and to effectively handle any that does, follow these proactive and preventative tips.

Protect your email address: Be careful about giving out your email address. Filling out surveys, contests, and signing up for accounts are all common ways for your email address to be added to a mailing list. Make sure you only give your information to a trusted website (trusted websites will have a detailed privacy statement). If you sign up for an account that requires your email address, watch for prompts regarding 3rd parties contacting you. Opt out if given the choice.
If it's a legitimate message, then unsubscribe: Many people think messages from Kohl's, Target, Amazon, etc. are spam, but they're not. You may have given the company your email when you made a purchase. All you need to do is click "Unsubscribe" at the bottom of the message. This is the easiest way to prevent unwanted email. Tip: Phishing messages can sometimes masquerade as legitimate businesses. If you don't remember interacting with the business or if something seems off about the email, it could be worth checking out our guide on how to identify a phishing message.
Flag the message as Spam: Log into your Webmail at www.toast.net/mail to use your spam controls. If a spam message shows up in your mailbox, mark it as "Spam" so the system can learn to filter similar messages in the future. You may have to mark several examples before the filter takes hold. Don't reply to a Spam message: By law, all mass emails must feature an unsubscribe link. If the email does not have an unsubscribe link, do not reply to the email as this will only tell the spammer that you're opening spam messages and they will send you more.

SmarterMail:

Select any messages you wish to mark as spam, and then click the "Actions" button at the top, then "Mark", and choose "Spam" from the menu.
From your Spam folder, you can also mark messages as "Not Spam" from that same menu. This will release the message back to the Inbox.
Manage advanced spam settings by clicking the "Settings" icon on the left toolbar, then "Filtering", then "Spam Filtering" (Note: these settings are already optimized. It is recommended to consult with TOAST.net Support before changing anything in this area.)

MDaemon/World Client:

Select the message you want to mark as spam and click the "Thumbs Down" (This is spam)" icon at the top of the screen.
From your Spam folder, you can release messages back to the Inbox by clicking the "Thumbs Up (This is not spam)" icon at the top of the screen.
