Categories in SmarterMail allow you to group your contacts together under custom labels (such as "Family," "Friends," or "Neighbors"). Once contacts are grouped into a category, you can quickly send an email to everyone in that category at once. Categories can also be color-coded for easy identification.
This article will walk you through creating categories and assigning contacts to them. To learn how to send an email to everyone in a category, see our follow-up article: Sending an Email to a Contact Category.
Part 1: Creating a Category
- Click Contacts in the top navigation bar.

- Click the Filter icon. A drop-down menu will appear with the following options: All, Attachments, All Categories, any categories you have already created, and Manage Categories.
Tip: Once you have categories set up and contacts assigned to them, you can return to this filter icon and select a specific category to view only the contacts within that group.
- Select Manage Categories. A window will open showing your existing categories, or it will display an option to add your first category.
- Click Add Category. A new row will appear with the following fields, listed from left to right:
- Tag – Click the arrow next to the tag icon to choose a color for the category. This allows you to color-code your categories for easy identification.
- Name – Enter a name for the category (for example, "Family," "Friends," or "Neighbors").

- Click Save at the bottom of the window to keep your changes. Click Cancel to discard them.
Part 2: Assigning a Contact to a Category
- From the Contacts page, click on the contact you wish to categorize. The contact’s details page will open.
- At the top of the contact’s page, you will see the following options: Save, Cancel, Delete, a paperclip icon, and Mark. Click the arrow next to Mark.

- A drop-down menu will appear listing your categories. Click the category you would like to assign this contact to. The drop-down will close, and the selected category will appear as a colored tag underneath the contact’s display name.
- To assign the contact to additional categories, click Mark again and select another category. Each selected category will appear as its own colored tag under the display name. At the bottom of the drop-down, you will also see Manage Categories, which can be used to create or edit categories from this screen as well.
- Click Save at the top of the contact’s page to apply the categories. Once saved, the contact card on the Contacts page will display a colored tag in the bottom right corner indicating the contact has been categorized.
